The Asia Foundation is looking for an executive and administrative assistant to provide administrative and operational support to the Foundation’s office in Mongolia.

Accountable to the operations manager, the executive and administrative assistant is responsible for providing administrative support to the country representative. Duties include, but are not limited to, coordination of office operations, calendar management, and scheduling for the country representative, procedures, and resources to facilitate organizational effectiveness and efficiency for the office.

Responsibilities

  • Oversee office organization and maintain a professional environment.
  • Provide administrative support to the Country Representative, including managing travel schedules, appointments, and conference calls.
  • Record minutes for executive meetings and handle documentation.
  • Manage vehicle arrangements, including driver coordination and bookings for vehicles and conference rooms.
  • Greet visitors, manage phone communications, and direct inquiries appropriately.
  • Address office and garage maintenance issues and assist with office procurement and filing systems.
  • Oversee the tracking of all incoming and outgoing correspondence.
  • Maintain all air purifiers according to The Asia Foundation’s air pollution policy to ensure compliance with office air quality standards.
  • Assist in organizing internal office activities and external events for the Foundation.

Qualifications

A Bachelor’s degree in communications, foreign relations, business administration, or other related fields is required. The ideal candidate is someone who has excellent organizational and time management skills and is a quick learner. The candidate should be passionate about their work and enthusiastic about working collaboratively in a multi-cultural environment. Strong written and oral communication skills in English and Mongolian and the ability to work and interact with different types of people efficiently, multitask, and meet deadlines are highly desirable.
