Position Summary
The Asia Foundation (TAF) Indonesia Office is seeking a qualified professional to serve as the grants and administrative officer for the Partisipasi program, based in Jakarta. They will support grant administration, reporting processes, and operational coordination across program activities. They will be responsible for managing grant documentation, administrative systems, and reporting processes to ensure accurate and timely tracking of agreements, deliverables, and compliance with program and donor requirements.
The role will also provide administrative and logistical support, including the coordination of meetings, partner consultations, workshops, and planning processes. They will maintain well-structured documentation, records, and communication systems to support efficient program operations and effective information management. Working closely with the grants manager, convenor director, program partnership officer, MEL hub, and partner organizations, they will contribute to effective grant management, coordination, compliance, and the strengthening of operational systems across the Civil Society Partnership.
Key Responsibilities
- Support administration of grants and agreements under the Partisipasi program.
- Maintain grant files, documentation systems, trackers, and compliance records.
- Monitor grant deliverables to ensure timely submission and compliance.
- Assist in processing grant documentation, correspondence, and administrative requirements.
- Track partner reports, deliverables, and supporting documents.
- Support the Grants Manager in maintaining accurate grant and contract records.
- Ensure compliance with TAF and donor policies, procedures, and requirements.
- Prepare grant administration summaries and reporting inputs.
- Coordinate logistics for meetings, workshops, trainings, and program events.
- Assist in scheduling, communication, and logistical arrangements for activities.
- Maintain administrative documentation, records, and filing systems (electronic and physical).
- Support coordination among program teams, partners, consultants, and service providers.
- Maintain consultant tracking systems and invoices.
- Support reporting processes by compiling and organizing program information and documentation.
- Participate in team coordination, ensure compliance, and support overall program operations.
Qualifications
Required
- Minimum five years of experience in grants, program administration, operations, or project coordination.
- Experience supporting donor-funded programs, preferably in governance, civil society, or development.
- Proven ability to manage grant documentation, administrative systems, and reporting processes.
- Strong understanding of grant management, compliance, and reporting requirements.
- Experience coordinating workshops, meetings, travel, and event logistics.
- Strong organizational, administrative, and multitasking skills with attention to detail.
- Excellent communication skills in English and Bahasa Indonesia, both written and verbal.
- Strong interpersonal skills with the ability to work collaboratively and independently in a dynamic environment.
Preferred
- Bachelor’s degree minimum in public administration, management, finance, development studies, governance, business administration, social sciences, or other related fields.
- Experience working with civil society organizations, partners, or multi-stakeholder programs is an asset.
- Familiarity with DFAT or other international donor requirements is an advantage.
